1. The Short Version
ZyloBase is a CRM platform built for field service businesses. You pay us a flat monthly fee. We give you software. You own your data. We don't sell it. We don't share it. If you cancel, we give it back.
2. Who We Are
ZyloBase LLC ("ZyloBase," "we," "us," or "our") is a software company based in Georgia, USA. We operate the ZyloBase platform, accessible at zylobase.com and its subdomains.

3. Accepting These Terms
By creating an account or using ZyloBase in any way, you agree to these Terms. If you're signing up on behalf of a company, you represent that you have authority to bind that company to these Terms.
If you don't agree with any part of these Terms, don't use ZyloBase.
4. Your Account
- You must be 18 or older to create an account
- You're responsible for keeping your login credentials secure
- You're responsible for all activity that happens under your account
- Notify us immediately if you suspect unauthorized access
- One account per organization — sharing accounts across organizations is not permitted
5. Subscription and Billing
ZyloBase operates on a flat monthly or annual subscription. Your plan includes a set number of users. There are no per-user fees beyond your plan tier.
- Billing is processed through Stripe. By subscribing, you authorize recurring charges to your payment method
- Founding member rates are locked for life as long as your subscription remains active
- 30-day money-back guarantee: if you're not satisfied within 30 days of your first payment, email jeremy@zylobase.com and we'll refund your first payment in full, no questions asked. Applies to monthly and annual plans
- After the 30-day window, annual subscriptions are non-refundable except in cases of service failure on our part
- Monthly subscriptions may be cancelled at any time. Access continues through the end of the billing period
- We reserve the right to change pricing for new customers with 30 days notice
6. Your Data
You own your data. Full stop.
- We store your customer records, routes, door knock logs, invoices, and all other data you enter into ZyloBase
- We will never sell your data to third parties
- We will never use your customer data for marketing or analytics outside of operating the platform for you
- You can export your data at any time from the Reports section
- Upon cancellation, you have 30 days to export your data before it is permanently deleted
7. Acceptable Use
You agree not to use ZyloBase to:
- Send spam or unsolicited commercial messages in violation of applicable law
- Violate any federal, state, or local law, including the TCPA and CAN-SPAM Act
- Impersonate another person or company
- Attempt to access data belonging to another ZyloBase organization
- Reverse engineer, copy, or resell any part of the platform
- Upload malicious code or interfere with platform infrastructure
Violations may result in immediate account suspension without refund.
8. SMS Communications
ZyloBase sends automated SMS messages to your customers on your behalf — including job completion notifications, invoices, and Google Review requests. You are responsible for:
- Obtaining proper consent from your customers to receive SMS messages
- Maintaining a do-not-contact list and honoring opt-out requests
- Complying with all applicable telemarketing and SMS regulations (TCPA, state laws)
ZyloBase provides a built-in Do Not Contact list (KnockGuard™) to help you stay compliant. Use it.
9. Intellectual Property
ZyloBase and its features — including Address History™, RouteConvert™, KnockGuard™, KnockSync™, ReviewLoop™, PerfectShot™, and BookSync™ — are the property of ZyloBase LLC. You may not copy, replicate, or build competing software using our concepts or code.
You retain all rights to the data you enter into the platform.
9a. Third-Party Integrations
ZyloBase offers optional integrations with third-party services so you can connect ZyloBase to tools you already use. Third-party integrations only operate when you explicitly authorize them from Settings → Integrations and only do what their description says.
BookSync™ (QuickBooks Online). When you connect QuickBooks Online, ZyloBase pushes invoices, payments, and customer records you create in ZyloBase into your QuickBooks Online company. ZyloBase does not read your QBO accounting data (chart of accounts, journal entries, bank balances, payroll) and is not a substitute for QuickBooks Online. BookSync™ is built and maintained by ZyloBase and is not produced by, endorsed by, or affiliated with Intuit beyond Intuit's standard developer-program approval. Intuit, QuickBooks, and QuickBooks Online are trademarks of Intuit Inc. You can disconnect at any time from Settings → Integrations.
Sync errors. Although ZyloBase retries failed syncs automatically and surfaces persistent failures in Settings, ZyloBase is not liable for accounting data discrepancies between ZyloBase and any third-party system. You are responsible for reviewing your books in QuickBooks Online and verifying that synced records are accurate. If you discover a discrepancy, contact us at jeremy@zylobase.com.
Other integrations. Stripe, Twilio, Resend, Mapbox, Supabase, Vercel, and any other integrations are operated by their respective providers under their own terms of service. ZyloBase is not responsible for outages or data handling at those providers beyond what is described in our Privacy Policy.
10. Service Availability
We aim for 99.9% uptime. Planned maintenance will be communicated in advance. We are not liable for downtime caused by events outside our reasonable control.
During beta, certain features may change or be temporarily unavailable. We'll notify you of significant changes.
11. Limitation of Liability
To the maximum extent permitted by law, ZyloBase LLC will not be liable for any indirect, incidental, special, or consequential damages arising from your use of the platform, including lost revenue, lost data, or business interruption.
Our total liability to you for any claim will not exceed the amount you paid us in the 3 months prior to the claim.
12. Termination
You may cancel at any time from your billing settings. We may terminate or suspend your account for violations of these Terms.
Upon termination, your right to access the platform ends. We'll retain your data for 30 days to allow export, then permanently delete it.
13. Governing Law
These Terms are governed by the laws of the State of Georgia, USA. Any disputes will be resolved in the courts of Fulton County, Georgia, or through binding arbitration at your election.
14. Changes to These Terms
We may update these Terms from time to time. When we do, we'll notify you by email at least 14 days before changes take effect. Continued use of ZyloBase after that date constitutes acceptance of the updated Terms.
